A post-construction cleaning handover records which areas are ready, what cleaning is authorized and which defects or hazards remain with the project team. Use it before mobilization and again at acceptance; a cleaning sign-off is not an occupancy or safety certification.

What makes an area ready for the cleaning team?

Ask the project lead to identify released rooms, ongoing trades, available utilities, approved access and the protection required for finished surfaces. Record unresolved work beside its owner. “Construction complete” is too broad if one room is still being sanded or an adhesive has not reached its permitted cleaning condition.

The worksheet is a coordination tool. A named project representative approves the release; the cleaning provider confirms the agreed work and any exclusions. Record how later trade activity or new dust will be handled rather than assuming unlimited return visits.

What happens when construction dust is unidentified?

Do not treat unidentified construction residue as ordinary office dust. CCOHS silica guidance places exposure assessment and suitable controls at the centre of dust management. Its examples include wet methods and HEPA-filtered vacuuming within a control program.

The project team must identify hazards and the authorized method before work starts. A HEPA label alone does not establish that a contractor is qualified for every contamination. Hazardous-material assessment and remediation are outside the routine cleaning estimate; unresolved hazards stay with the designated project response owner.

Which finish restrictions must travel with the handover?

Attach the installed-product care guides and any installer restrictions. Record adhesives, coatings, protective films and surfaces where residue removal needs approval. Do not use a generic scraper, solvent or floor treatment simply because another room tolerated it.

The floor-material matrix shows why initial-clean instructions differ. Ask for the exact release relevant to the installation. Record damaged or unfinished surfaces separately so cleaning acceptance does not become a claim that those defects were repaired.

How should the final cleaning walkthrough be recorded?

Review each agreed room against observable scope outcomes. Use “accepted”, “correction requested”, “not inspected” or “excluded”, with a date and a responsible person. Record the item needing correction, its location and what was expected. Photographs are optional evidence only where the site permits them.

Separate new dust caused by later trades from an incomplete agreed task. A revision or return visit needs a clear decision about scope and responsibility. Use the inspection checklist and photo-evidence guidance to document that review.

How does project cleaning hand over to recurring service?

Start the recurring program from a recorded initial condition and a new agreed task list. Confirm which project tasks stop, which routine tasks continue, the closed-hours window and the one-to-seven-visit weekly schedule. Do not reuse the project quote as a recurring tariff.

Post-construction cleaning is separately scoped from the office estimator. Once the premises are ready for routine care, use the scope template and request a facility walkthrough for the ongoing program.
