What belongs in a commercial cleaning scope of work?

A usable scope identifies the site, service areas, task boundaries, schedule, responsibilities and expected result. Add a version number, effective date and named approvers so a later change can be traced to the right proposal.

ISSA's published 2023 CIMS framework calls for site-specific service requirements and documented changes. This worksheet is YEG commercial cleaners planning aid, not a CIMS assessment or certification. Read CIMS section 1.1.

Start with the rooms covered by your after-hours commercial cleaning program. Record excluded tenant areas, inaccessible surfaces and separately quoted work alongside the inclusions.

How do you describe tasks so two bidders price the same work?

Give each task a room, quantity, unit and clear boundary instead of using phrases such as full clean. A kitchenette surface task should say whether it covers accessible counters, table surfaces, appliance exteriors or appliance interiors.

Use one consistent unit for each task: floor area, fixture count, bin count or glass area with the included sides identified. If a washroom bundle includes its floor and bin, mark those items as included in the bundle rather than adding them again. How should recurring and occasional tasks be separated?

List recurring visit tasks separately from periodic work, with an agreed frequency and approval method for each. A scope saying floors are included does not establish whether carpet extraction or finish restoration is part of a routine visit.

For YEG commercial cleaners recurring program, choose one to seven visits per week during closed hours. State the allowed entry and departure window, holiday arrangements and who handles needs between visits. What does a clear scope line look like?

A clear scope line describes work that can be priced and later checked without guessing. Synthetic example: Office A, 12 accessible workstation bins, empty and replace liners when needed, each Monday/Wednesday/Friday closed-hours visit; carry ordinary waste to the approved internal collection point; client supplies liners.

The example's acceptance condition is that the listed bins have been serviced and loose waste has not been left around them. Confidential disposal and hazardous waste are excluded. These quantities and days are fictional, not a customer record, recommended staffing ratio or market price.

How do you approve the scope and handle changes?

Have the buyer and provider confirm the same dated version before treating the worksheet as accepted work. Leave unresolved fields visible, including consumables, starting condition, restricted rooms and periodic tasks; a blank cell should never mean included.

For changes, record what changed, who requested it, the proposed price or schedule effect and when approval takes effect. Keep the previous version. Use the completed scope to compare cleaning proposals or request a site-specific quote. Contract terms and any required professional review sit alongside this operational worksheet.
