What should a cleaning photograph prove?

Name the task and the visible condition the image is intended to record. A photograph of a cleared counter can support a surface-condition review. It does not establish that every room was cleaned, prove a chemical contact time or replace the agreed inspection.

Choose an alternative when a photo would reveal unrelated information: a supervisor inspection, a written exception or a limited completion record may fit the purpose. This guide proposes a governance worksheet; it does not require photos on every visit.

The inspection checklist defines the result being reviewed. Choose evidence for that result first, then decide whether a photograph is permitted and useful.

Which privacy questions need approval?

The Alberta OIPC’s PIPA summary describes reasonable purposes, limited collection, appropriate consent, safeguards and retention tied to business or legal need. Its privacy-laws overview explains that different laws apply to different organizations. Have the facility’s privacy lead identify the applicable requirements; this worksheet is not a legal compliance certification.

Agree who authorizes collection, which people may access it, whether it may be shared with a client and how questions or removal requests are handled. Permission for an inspection record does not automatically authorize marketing use.

How can the capture scope exclude unrelated information?

Use a task-specific framing plan. Before capture, check for people, name badges, computer displays, appointment boards, customer files, access controls and reflections. Do not move private materials to improve a photo; ask the site contact for an approved alternative.

Illustrative decision: a close view of an empty sink may fit an approved fixture-inspection purpose. A wide view showing an appointment board behind it introduces unrelated information. Cropping or removing file metadata is not a guarantee that the visible image cannot identify someone or expose the site.

What must the evidence-handling record specify?

Name the approved capture device, storage destination, viewer roles, publication approver and retention decision owner. Record what happens to local pending copies, accidental captures and access when a worker leaves the assignment. Do not put real access codes into the worksheet.

A private upload setting is only one control. Confirm how the actual system behaves before relying on it, including offline copies and exported images. Use the website privacy notice for website data handling; the facility’s operational evidence agreement needs its own confirmed details.

How does photo review connect to cleaning acceptance?

Keep task completion, evidence review and permission to publish as separate decisions. If an image is unsuitable, record a restricted exception and ask for an approved way to verify the work. Do not upload a second broad image simply to satisfy a photo count.

Attach the handling plan to the cleaning scope and the site handover. Discuss evidence restrictions during the walkthrough so the agreed verification method fits the facility.
