What should a cleaning inspection be measured against?
Measure an inspection against the accepted scope version and its observable conditions, rather than an inspector's unstated preferences. Record the visit, inspection time, areas reviewed and any access limitations.
ISSA's published 2023 CIMS framework connects documented performance measurement to service requirements and includes an inspection and feedback process. Read CIMS sections 1.2.3.1 to 1.2.3.5. The rubric here is an editorial planning tool, not an official CIMS scoring sheet or a certification claim. Use the scope template to agree what the review will check.
How should you record pass, return, not inspected and waived?
Use pass for an inspected item meeting its agreed condition, return for an inspected item needing correction, not inspected where no assessment was made, and waived only for a recorded authorized exception. These four states prevent an inaccessible room from quietly becoming a pass.
For a return, describe the location and observation. For not inspected, explain the reason and next review opportunity. For a waiver, record who approved it, why and which visit or period it covers. A waiver does not prove cleanliness; a completion tick does not prove that an independent inspection occurred.
What makes an inspection note useful?
A useful note names the task, observed condition, timing and requested next action without guessing its cause. Synthetic example: meeting room M1, task F2, loose debris visible beneath the accessible table at 07:30 after the booked visit; result return; supervisor to review and confirm the next action.
This is a fictional issue record, not evidence of a customer incident. State whether the room was used between cleaning and inspection when known. Review visible scope conditions without claiming that a visual check measures microbial safety, proves disinfection or establishes a health outcome.
Do photographs or a sampled inspection prove the whole visit?
A photograph supports only what it actually shows, and a sampled inspection describes only the items reviewed. Keep the sample list visible and do not label the entire building passed when other areas were not inspected.
Use written observations when photography is restricted or unnecessary. If images are appropriate, follow the site's agreed permissions and the cleaning photo evidence guide. Avoid capturing people, screens, documents or security details in a routine issue record. The execution checklist records tasks; this inspection sheet records the subsequent assessment.
How should a cleaning issue be closed?
Close an issue after the agreed corrective action is recorded and the named reviewer confirms the resulting condition or documents another accepted outcome. Keep the original observation, action and review time together rather than replacing the original result.
Set the review arrangement for the site; this worksheet does not promise an automatic response time. Repeated returns may call for a discussion of access, task clarity, frequency or delivery.
