How is a cleaning register different from a walkthrough checklist?

A walkthrough checklist captures the site at a point in time; a cleaning register maintains the accepted facts as the site changes. It links room IDs, task quantities, surface references and current scope versions without becoming a financial asset ledger.

Start from the walkthrough inventory. Record which entries are measured, supplied by the owner or still approximate. A register makes data traceable; it does not make an unverified measurement accurate merely because it appears in a table.

Which identifiers and fields should remain stable?

Keep a stable site ID and room ID even if the display name changes, then connect each task to its location and quantity unit. Record floor product, fixture count or glass-side detail only where it affects the assigned work.

Use separate fields for the current value, source, checked date and responsible reviewer. Restricted information should remain in the approved private system; the general register can hold a reference. Do not copy alarm credentials or confidential occupancy details into an exported planning sheet.

How should a room change be recorded without losing history?

Preserve the previous value and the effective date rather than simply replacing a cell. Synthetic example: room M2 changes from 300 to 360 sq ft of confirmed carpet after a partition move. The register retains both values, the new measurement reference and the revision date.

The change does not automatically authorize more work or a new price. Link it to the scope change decision. A renamed room can keep the same ID; a split or merged room needs an explicit mapping so old issue records remain understandable.

When should cleaning master data be checked?

Check relevant entries after known site changes and during an agreed periodic review. Useful triggers include room reconfiguration, replacement dispensers, changed flooring and revised access restrictions.

The published CIMS 2023 framework calls for documented service changes. The register supplies an original way to trace affected inputs. An unchanged check should record who confirmed the value and when; a missing review should remain visible. This is not a required software platform or a universal review interval.

How does the register support future cleaning decisions?

Use current IDs and quantities when revising the scope, planning inspections or requesting periodic work. Retire replaced entries without deleting the references that historical reports depend on.
