What should a facilities manager bring to a cleaning service review?

Bring the accepted scope version, review period, relevant inspection records, unresolved issues and proposed changes. Add access exceptions, supply questions and billing clarifications where they need a decision.

How do you compare inspection results fairly?

Compare the same task definitions, inspection coverage and outcome states before describing a trend. Record how many items were inspected, how many were returned for correction and which were not inspected or waived.

Synthetic example: review A inspected 20 items and returned two; review B inspected 40 items and returned four. Both have a 10% return share among the inspected items, but different sampled tasks or times can still prevent a meaningful trend. How should recurring issues be distinguished from isolated reports?

Group records by the same task, location or confirmed cause, then examine whether they recur under comparable conditions. One complaint or photo cannot establish that an entire program has failed.

Choose the next check around the decision being tested, the site’s needs and the availability of useful evidence. A recurring calendar invitation does not by itself establish an appropriate review interval or a promised response time.
