Who should authorize access for after-hours cleaners?

The facility's authorized representative should confirm the entry window, permitted route, included rooms and people responsible for access changes. A scope request or a meeting invitation is not itself an access authorization.

For an after-hours commercial cleaning program, agree how authorized personnel receive and return access items and how the site updates that record when staffing or tenancy changes. This sheet records responsibilities and reference numbers only. It is a planning template to agree with the site, not a claim that a particular customer security procedure is already deployed.

What information belongs on the access handover sheet?

Record the approved contact roles, visit window, access-plan reference, included-zone IDs and closeout responsibilities. Keep alarm codes, passwords, key details and sensitive floor plans out of ordinary quote forms and broadly shared worksheets.

A redacted map can use simple labels such as A: included, R: restricted and C: confirmation needed. Record who resolves C before work begins; do not treat it as permission. The walkthrough checklist records the cleaning inventory, while this sheet records the authorization boundary around it.

What should happen if the cleaner cannot enter?

Follow the site's agreed no-entry escalation and leave the access issue unresolved until an authorized contact confirms the next step. Do not improvise entry, bypass a restriction or ask an unverified person to disclose credentials.

Agree primary and backup contacts, how the attempted visit is documented and who decides whether to reschedule. Record any billing decision separately in the service agreement. This template sets no guaranteed response time and does not assume that a missed-access visit can automatically be completed outside the approved window.

What should the site and provider discuss about working alone?

They should discuss site-specific hazards, communication and the arrangements for checking that workers are accounted for. CCOHS recommends assessing lone-work situations and establishing an appropriate check-in procedure, including contacts and a missed-check-in plan. Read CCOHS Working Alone: General.

That guidance is broader than an access sheet. The employer and site need an appropriate working arrangement for the actual tasks and location; this worksheet does not establish legal compliance or make higher-risk work suitable for a lone cleaner. Record the agreed plan reference and responsible contact without publishing its sensitive details.

How do you confirm lock-up and transfer access when providers change?

Define the closeout checks the site authorizes and record which party confirms completion, exceptions and the return or withdrawal of access. Use the approved private process for the actual access items or credentials.

When switching providers, record the outgoing access end time, incoming authorization start time and the facility contact who confirms the transition. Include proposed windows and contact roles in a quote request, then arrange sensitive access details privately once the responsible parties are established.
