Which entrances need a winter care record?
Map the public entrance, staff door, loading access and any route from parking into occupied space. Record the floor system on each route, mat placement, door clearance and the named building contact. Use observed conditions instead of assigning an invented risk score to a neighbourhood.
Start a dated condition log when the site encounters tracked-in moisture or residue. The same facility may have a dry reception entrance and a heavily used loading entrance. A room-level record tells the provider where the additional work actually is.
Use the record to distinguish the routine floor cleaning scope from an additional entrance task or separate restoration project.
What should staff check at mats and wet areas?
CCOHS identifies wet surfaces and loose or unanchored mats as slip hazards, and recommends prompt spill cleanup, marking wet areas and securing mats that do not lie flat. A mat is not a substitute for checking its condition.
Assign someone to record saturation, curling edges, movement and moisture reaching beyond the mat. Use the building’s response procedure when an issue is found. If a mat needs replacement or different placement, record the responsible party rather than assuming the night cleaner can authorize that change.
Why must winter floor care match the installed finish?
Identify the product and finish before selecting a residue-removal method. Forbo’s May 2026 Marmoleum guide notes that weather and winter chemicals can change interim-cleaning frequency. Its instructions belong to the named floor system, not every commercial floor.
The manufacturer-based floor matrix helps record the correct guide. Avoid turning “winter cleaning” into a generic stripping treatment. Routine cleaning, an additional machine clean and restoration need different scope decisions.
Who responds before the after-hours crew arrives?
The building needs an occupied-hour response owner for a spill or unsafe entrance condition. YEG commercial cleaners provides closed-hours cleaning, not daytime porter service. Write down the building contact, escalation route and what the night crew is expected to report at the end of its visit.
Exterior snow removal, de-icing and mat rental are separate responsibilities unless specifically arranged with the appropriate providers. The access handover checklist should identify usable entrances and any changes to normal arrival or lock-up.
When should the recurring cleaning scope change?
Bring the condition log to the scope review. Identify the affected route, the task that is no longer sufficient, the proposed change and who approves it. Do not add an automatic “winter surcharge” or multiply every task because one entrance needs attention.
Connect any approved change to the weekly schedule and the recurring cleaning program. If the required work is a separate floor-care project, request that scope through a facility walkthrough.
