How do you choose the days for office cleaning?
Choose visit days around when rooms are used, how their condition changes and when cleaners can access the site. A Monday-to-Friday office and a seven-day operation need different calendars even when their floor areas match.

Write the operating days and agreed entry and departure times beside the selected service days. Do not assume that an empty building on a holiday will still be accessible.
How should routine tasks and periodic work appear on the calendar?
Show the recurring visit task set on each booked day and record periodic work in separate dated entries. Give tasks stable IDs that match the scope of work, so the calendar does not quietly add or remove work.
A proposed rotation needs explicit acceptance: a less frequent task still needs a date, responsible person and price decision. What could a three-visit office schedule look like?
A three-visit schedule could place the agreed routine task set on Monday, Wednesday and Friday after the office closes. This is a synthetic planning example, not a recommended frequency for every workplace.
In that example, the facilities contact owns issues on Tuesday and Thursday and records anything requiring a scope review. Friday's visit prepares the office for its next agreed operating day; it does not provide weekend attendance. If a periodic task is proposed for the last Friday, record it separately and confirm approval, time and price before adding it to that visit.
Who handles spills and restocking between cleaning visits?
The site needs a named internal or separately arranged contact for issues that occur while the cleaning team is absent. After-hours visits do not provide continuous coverage, daytime porter attendance or immediate spill response.
Write down who receives reports, checks stock and decides whether a changed need requires a different recurring schedule. For supplies, the consumables restocking planner separates purchase, stock checks and replenishment. A scheduled restock cannot replenish an empty cupboard without an agreed supply arrangement.
How do you handle holidays, closures and schedule changes?
Record each exception with a proposed replacement date or cancellation, an approval contact and any agreed billing effect. Keep the original entry visible until the change is confirmed so two teams do not follow different calendars.

Review its fit against actual conditions and bring the proposed days and windows to an after-hours cleaning quote. Use actual dates for attendance even if budgeting uses a monthly average.
