How do you identify compatible washroom refills?

Record dispenser brand, model and system before ordering. As one product-specific example, Tork’s 400020 S4 soap refill page lists the dispensers it works with. That compatibility record is more useful than ordering a bottle simply because its volume looks similar.

Create one inventory line per actual refill SKU. Record pack size and ordering unit: a case, roll and cartridge are not interchangeable quantities. Keep the supplier reference with the stock sheet and confirm substitutions before putting them into a dispenser.

How can a facility measure consumable use?

Choose a consistent review period and count unopened stock at the start and end. Record receipts, transfers, damaged units and emergency purchases. Compare like units. A change in the number of cases is not meaningful if the case pack changed.

Use this planning identity: opening usable stock + receipts − closing usable stock = units issued, after accounting for transfers or adjustments. Issued stock is not necessarily all consumed; some may now be sitting in dispensers. Label what your records measure and keep unusual events beside the figures.

What stock level should trigger a reorder?

A simple planning rule is expected use during supplier lead time plus a buffer chosen by the site. Review it when occupancy, delivery reliability or dispenser settings change. It is not a universal safety-stock standard.

Synthetic example: observed issue is four cartridges per week, delivery takes two weeks and the site chooses a four-cartridge buffer. The trigger is 4 × 2 + 4 = 12 cartridges. If a case contains six, the trigger equals two cases of stock. A trigger is not an order quantity: count usable stock and check outstanding orders before deciding whether and how much to buy. This arithmetic does not predict your consumption or guarantee stock availability.

Who purchases, checks and replenishes supplies?

Name three responsibilities separately: who orders and pays, who checks the reserve stock, and who refills dispensers. Add a substitute contact and an escalation route for a shortage. If the landlord buys stock but the tenant reports usage, both parties need the same product list.

How does the stock plan work between cleaning visits?

Schedule a site-owned stock check for the intervals when the building is open. A once-weekly cleaning agreement does not provide daily replenishment. YEG commercial cleaners cleans during closed hours and does not offer daytime porter coverage.

Review actual shortages and surplus at the next inventory check, then adjust the chosen buffer transparently. Link each dispenser to the washroom checklist and each agreed restocking task to the service calendar. Bring unusual stock or access requirements to your walkthrough request.
