A holiday and closure schedule records exceptions to the normal cleaning calendar. Confirm what changes on each actual date, who authorizes the change and whether service is retained, moved or cancelled.

Which dates belong in a cleaning closure schedule?

List dates when the site’s operating pattern, access or cleaning need differs from the normal week. Include planned shutdowns, tenant events, maintenance closures and holidays that affect the particular facility.

Start with the weekly service calendar. A holiday name alone does not confirm that an office is closed, that building security can admit cleaners or that the booked visit is cancelled. Record the actual date and site instruction instead of relying on a generic public-holiday list.

How do you choose whether to retain, move or cancel a visit?

Choose the outcome after checking the required task set, the next operating day and an available authorized cleaning window. Keep a proposed replacement pending until both access and scheduling are confirmed.

The outcome may differ by room: a closed tenant office and an active shared reception can have separate needs. Record who owns any occupied-hour issue while cleaners are absent. YEG commercial cleaners provides closed-hours visits; a holiday arrangement does not add daytime porter coverage.

What does a clear closure exception look like?

A clear exception shows the original visit and the accepted replacement without erasing either. Synthetic example: a fictional site closes on a scheduled Monday, proposes Sunday evening instead and confirms the same task set with an authorized access contact.

If Sunday access is not confirmed, the entry remains proposed. If the site agrees to cancel rather than move the visit, record that different outcome explicitly. This example does not establish holiday service availability, entitlement to a replacement or a standard charge.

How should closures affect the monthly cleaning amount?

Check the agreement’s billing basis and the specific exception decision before changing an invoice. A fixed monthly amount and an actual-visit arrangement may treat the same closure differently.

The average-month conversion of weekly visits × 52/12 does not count the actual visits in a dated month. Use the invoice reconciliation record to connect the agreed billing outcome to the closure reference. Leave any disputed amount unresolved rather than using an automatic one-visit deduction.

What needs confirmation before the revised visit?

Confirm the accepted date, task set, access contact and any room preparation before releasing the revised visit. Record when the relevant people received the change and which calendar version now applies.

CIMS 2023 section 1.1.2 supports documenting changed requirements. Connect the exception to the access plan and the recurring program scope. A completed exception sheet makes the agreed change reviewable; it does not change the underlying contract on its own.
