Commercial Cleaning Contract Review Checklist
A cleaning contract review checks that the documents describe the same service and that material questions have an answer before approval. Use this checklist to organize operational questions for the authorized buyer and contract reviewer, not to draft legal clauses.

Review the agreement, scope, price schedule, site appendices and referenced policies together, using their exact versions. List attachments that are missing or referred to by an outdated name. Ask which document controls if two requirements conflict.
The provider selection guide addresses evidence behind supplier claims; this checklist addresses the specific proposed agreement. A sales presentation or an online estimate should not be assumed to resolve every term in the final document.
How do you check that the contract describes the intended service?
Match rooms, tasks, frequency, access, consumables and exclusions to the buyer-approved scope. A general promise of comprehensive cleaning leaves questions if the task appendix names different work.
The published CIMS 2023 framework supports documented site requirements; it does not supply contract terms. Check the scope worksheet against each attachment. For YEG commercial cleaners, the recurring scope is closed-hours service at one to seven agreed visits weekly, with project work and different requirements separately confirmed.
Which billing and change questions need an explicit answer?
Ask how prices are calculated, what the billing period covers and how changes or exceptions affect the amount due. Record any initial work, consumables, periodic projects, applicable tax and price-review mechanism separately.
Use the quote comparison to confirm the same units. A fixed monthly fee and a per-completed-visit fee produce different questions when a holiday removes a visit. Do not insert an automatic deduction, refund or price lock that the agreement does not contain.
What should the buyer ask about renewal, exit and responsibility?
Ask the authorized reviewer to identify the term, renewal process, notice method, exit obligations, access return and handling of unfinished issues. Record the clause reference and unresolved interpretation; this worksheet does not decide enforceability or supply a universal notice period.
For insurance, privacy or regulated-site requirements, request the specific evidence needed by the facility and have the responsible specialist review it. A blank certificate field is not proof of coverage. Keep sensitive supporting documents in the approved review process rather than a public worksheet.
How should final approval and remaining questions be recorded?
Record each question, its answer, the document revision and who is authorized to accept it. Preserve open items rather than labelling the entire contract checked when an attachment remains missing.
Synthetic example: the main agreement says five visits while Appendix A says three; the buyer marks frequency unresolved and requests one corrected version before approval. Take the corrected operational brief to a quote discussion and the first-month plan. Neither the example nor this checklist replaces contract-specific professional advice.
